Getting Started

How do I connect Niia to my WhatsApp Business number?

After signing up, go to Settings → WhatsApp in your dashboard. You'll see a QR code. Open WhatsApp on your salon's phone, tap Linked Devices → Link a device, and scan the QR code.

Once linked, Niia will start monitoring incoming messages within 60 seconds. You don't need to change your number or tell customers anything — it all happens on your existing number.

If you're using WhatsApp Business API (for high-volume salons), our team handles the setup for you as part of onboarding.

How do I add my salon's services and prices?

Navigate to Manage → Services in your dashboard. Click Add Service and fill in the name, duration, price, and which staff members offer it.

Niia reads this list when answering customer questions. If a customer asks "how much is a balayage?" she'll quote your exact price. Keep it up to date — even seasonal promotions or limited-time offers can be added here.

How do I add my opening hours?

Go to Settings → Salon Hours. Set your regular open/close times per day of the week. You can also add public holiday closures or one-off exceptions.

Niia uses these hours to know which slots are available when booking. Customers will never be booked outside your open hours.

How do I add staff members?

Go to Manage → Staff and click Add Staff Member. Enter their name, role, and the services they offer. You can also set their individual working hours if they differ from salon hours.

When Niia books an appointment, she assigns it to the correct staff member based on availability and the service requested.

Bookings & Scheduling

How does Niia book an appointment?

When a customer messages asking to book, Niia asks for the service they want, their preferred date and time, and (if applicable) which staff member. She checks availability in real time and offers the nearest open slot.

Once the customer confirms, Niia creates the booking in your dashboard and sends them a confirmation message with the date, time, service, and staff name.

Can Niia handle reschedules and cancellations?

Yes. If a customer says "I need to move my appointment" or "can I cancel?", Niia looks up their most recent booking, confirms the details with them, and processes the change.

Cancelled slots are immediately freed up and become bookable for other customers.

How do reminders work?

By default, Niia sends a reminder message the evening before every appointment (around 7 PM). The customer can reply to confirm or reschedule directly in the same WhatsApp thread.

You can customise the reminder timing in Settings → Reminders. Options include 24 hours before, 2 hours before, or both.

Troubleshooting

Niia stopped replying. What do I do?

First, check your dashboard status indicator — a red dot means the WhatsApp connection was dropped. This usually happens if the phone was restarted or the WhatsApp session expired.

Go to Settings → WhatsApp and click Reconnect. Scan the new QR code with your salon's phone. Niia will resume immediately.

If the problem persists, email connect@navan.ai and our team will diagnose it within 2 hours.

A booking wasn't created even though Niia said it was. What happened?

This is rare but can happen during a brief connectivity outage. Check Manage → Bookings and look for a "Pending" status — these need manual confirmation.

If the booking is missing entirely, go to Manage → Conversations, find the customer's chat, and create the booking manually. Then report it to us so we can investigate.
